Booking Terms & Cancellation Policy

1. Who You Contract With

Kiuli designs your safari and is your point of contact throughout planning. When you book, the contract for the trip itself — and every payment you make — is directly with iTrvl (ITRVL LLC) and the Wilderness Group (Wilderness Holdings Ltd), not with Kiuli. You will review and accept their booking terms and conditions before you pay. Kiuli is not a party to that contract; we are the agent who designed your itinerary and who you continue to work with before, during, and after your trip.

2. Payment

If you book more than 90 days before departure, a deposit is due at booking confirmation and the remaining balance is due 90 days before departure. If you book within 90 days of departure, full payment is due at confirmation. Payments are processed by Stripe.

3. Escrow

When you pay, iTrvl holds your funds in escrow. It pays your lodges, guides, and other suppliers — and pays Kiuli's fee — out of that escrow, and issues any refunds due under these terms. Your money does not pass through Kiuli's accounts.

4. Cancellation Policy

If you need to cancel, cancellation charges are calculated as a percentage of the total trip cost, based on how much notice you give before departure:

31-60 days	75% of trip cost
30 days or less	100% of trip cost

Cancellations must be made in writing. If your reason for cancelling is covered by your travel insurance policy, you may be able to reclaim these charges from your insurer — comprehensive travel and cancellation insurance is required for all Kiuli bookings.

5. Pandemic Protection Terms

Separate, more favourable terms apply if a pandemic prevents you from travelling:

A 100% refund is available if, within 45 days of your first booked service, a pandemic makes you unable to reach your destination or causes a government-imposed quarantine or border closure affecting your trip.
A 100% refund is also available if, within 7 days of your first booked service, you test positive or are placed in quarantine that lasts until that first service.
If you would rather postpone than cancel under either of the above, you can receive a credit of up to 25% of the value of the affected services toward extending or upgrading a future booking.

These pandemic provisions apply only to the scenarios above; standard cancellation terms apply otherwise, and trip interruption after travel has begun is a matter for your travel insurance.

6. Pricing

Prices are based on costs known at the time your itinerary is issued. If underlying costs rise before your booking is confirmed — fuel, supplier rates, currency movements, or government levies — a proportional supplement may be added, and you will be informed before it is applied.
